Faculty Resource & Administration Guide
Mailboxes
Faculty mailboxes are located in Room 465. Your copy code will be placed in your mailbox so that you may use the photocopiers that are also located in Room 465. Please check your mailbox regularly, as this is an important method of communication from the Externship Office.
Course Packet Materials
The Office of Faculty and Administrative Support Services will confirm copyright approval, photocopy and make available your course materials. Course materials over 120 double-sided pages will be bound, priced, and sold through their office. Course materials less than 100 pages will not be bound and will be made available, free of charge, to students on the sixth floor and/or posted on Blackboard. Materials are due to the Office of Faculty and Administrative Support Services approximately 5 weeks prior to the beginning of each semester. More information is provided as each deadline is announced.
Posting Initial Class Information at the Beginning of the Semester
All required textbooks, first class assignments, class syllabi, and class descriptions must be submitted by email to classnotes@wcl.american.edu. This information will be posted for students on the course listing available through the WCL website. More specific directions will be provided to you as each deadline is announced. Please cc externship@wcl.american.edu when you send course information.
Blackboard
Blackboard, an on-line classroom, is a valuable resource available for class-management and on-line communication. Through Blackboard, you can post announcements, course documents, syllabi, etc., and easily stay in touch with your class. We encourage all faculty to become familiar with Blackboard, and use it as a seminar resource. For more information on creating your course Blackboard, contact Susa Wild, Technology Training Manager, at (202) 274-4382 or joe@wcl.american.edu.
Posting Class Cancellations
If you have a Blackboard established for your class, you can post any cancellations or changes. Also, you may send an email to classnotes@wcl.american.edu, providing your name, course title and number, room number, and time and date of cancellation. For last-minute cancellations, please dial the main phone number, (202) 274-4135, which is answered between 9:00am-5:30pm Monday-Friday. For cancellations after 6pm, please call (202) 274-4120. Please also let the Externship Office know about any cancellations, and we will post it on our bulletin board.
Audio/Visual Requests
Requests should be emailed to the Media Control Center at mcc@wcl.american.edu to request audio visual equipment, tape record a class or information on how to operate equipment that may be in your classroom. A minimum of 24 hours notice is needed for Monday-Friday; all weekend requests must be submitted by the preceding Wednesday. Office hours for the Media Center are 9:00am-9:00pm Monday-Thurs. and 9:00am-7:00pm on Friday.
Guest Speakers/Visitor Parking
If you plan on having a guest, please contact Monica Philips, Service Coordinator, Facilities Management Office at msphilips@wcl.american.edu and cc externship@wcl.american.edu with the guest name, date and estimated TIME of arrival, and general duration of stay. The parking attendant will be notified so that your guest may park in the garage and security will allow them entrance to the building.
Grading Issues
On occasion, some confusion arises over whether a students' grade has been posted. While the Externship Office will relay any information we have to you, you should contact the Register directly in order to resolve the issue, and then let the Externship Office know the resolution. The Office of the Registrar can be reached 274-2080.
Adjunct Faculty Paycheck Inquiries
If you have questions regarding your paycheck arrangements or changes, please visit or contact the Office of Finance and Administration, Suite 370, (202) 274-4060.

Help Us Help You
As noted in most of the directions above, please let the Externship Office know about your special requests, guests, announcements, etc. We will assist with communication to the students and confirm that arrangements have been made internally.
